Privacy, Data Protection & AI Use
At Rubee Rose IT Consulting, I understand that providing technology support may involve access to information on your computer, account settings, error messages, screenshots, email addresses, or other information needed to diagnose and resolve a technical problem.
I take that access seriously and use reasonable safeguards to protect the information clients share with me.
Information I May Access
During a support session, I may need to view or work with information necessary to diagnose or resolve your issue. This can include:
Computer and device information
Software and system settings
Error messages and diagnostic information
Screenshots related to the technical problem
Email addresses or account names
Files or folders when necessary to resolve the issue
Information you voluntarily provide during a support session
I only access information reasonably necessary to provide the requested service.
Remote Support & Your Control
Remote support sessions are initiated with your knowledge and permission.
During an attended remote session, you can see activity taking place on your computer and may end the connection at any time. A standard support session does not provide permanent access to your computer.
If ongoing or unattended remote access is appropriate for a maintenance client, it will only be configured with your authorization.
Use of Artificial Intelligence
Rubee Rose IT Consulting may use reputable artificial intelligence tools as an assistive resource when providing technology services.
AI may be used to help:
Research or analyze technical errors and symptoms
Evaluate possible troubleshooting approaches
Organize technical notes
Draft or improve client session summaries
Create troubleshooting instructions or educational material
AI does not replace professional judgment. Recommendations generated with AI assistance are reviewed and evaluated before being relied upon or provided to a client.
Protecting Your Information When AI Is Used
When using AI-assisted tools, I take reasonable steps to limit the information shared to what is necessary for the task.
Whenever practical, information is minimized or de-identified before being submitted. Sensitive information that is not necessary for troubleshooting should not be intentionally submitted to an AI service.
Examples of information that should not be intentionally shared with an AI tool include:
Passwords
Social Security numbers
Complete payment card or banking information
Authentication codes
Private encryption keys
Other credentials or highly sensitive personal information
If a screenshot or technical record contains information that is not relevant to the problem, I will make reasonable efforts to avoid including that information or to remove it when practical.
Screenshots & Diagnostic Information
Screenshots can be particularly useful for identifying error messages, software settings, suspicious pop-ups, configuration problems, and other technical issues.
When screenshots or diagnostic information are used for troubleshooting, they are used for the purpose of providing support. I make reasonable efforts to limit unnecessary personal information included in materials used for diagnosis or AI-assisted analysis.
Session Notes & Summaries
I may maintain reasonable business records of services provided, including troubleshooting notes, work performed, recommendations, and session summaries.
These records help provide continuity if you need assistance again and document the services performed.
Session summaries may be prepared with AI assistance based on technical notes from the support session. AI-assisted summaries are reviewed before being provided to the client or retained as part of the service record.
Client Responsibility
Clients should avoid providing passwords, financial information, Social Security numbers, authentication codes, or other highly sensitive information unless it is specifically necessary to complete the requested service.
Whenever possible, clients should enter their own passwords and authentication codes rather than providing them to the technician.
Third-Party Services
Some technology services require the use of third-party software or platforms, such as remote-support applications, cloud services, security products, Microsoft services, or AI tools.
Those providers maintain their own privacy and security practices and policies. Rubee Rose IT Consulting selects professional tools with security and privacy considerations in mind but cannot control the independent practices of third-party providers.
